Faerytale does this, by the way.

I have lots of notes. For some characters (the really old ones) I have multiple notes for notes. (If you see a note called "notes," "notes 2," or "from," it's probably from one of my dead characters. My older characters have a "from" note so they could remember where they came from)
I don't think of it as just memory. It makes sense for characters to write important stuff down. One of the main uses for my notes is knowing how long workers/employees have been working.

I have lots of notepad files. I use notepad for calculations and trades. (quite disappointing when both my laptop and the one character holding a bunch of calculations died)

I've got an xls file - I love the possibility to have many sheets - ordered and marked with different colours depending on char's status - in one file.
First sheet is an overall list of my charries with some very basic desc., and then every charrie's got a sheet on their own. It's great for my own planning for the character, even before the charrie itself would actively start following an aim, for planning clothing and its cost, and also for everything else I may want to write down. I rarely use it, though, unless I plan something really big for one of my charries.

as for my daily routine, I check the ones that interest me the most first, then the others. If there's too much action or idly chit-chat - I just scan it, or don't bother with it at all, reading just a page or two of last events - it would be odd for a charrie to refer to something that was much earlier anyway, unless it's been something important. Sometimes, if I don't have time, or simply not feel like it, I don't even check on charries that, at the moment, interest me least.

Faerytale Online the free Persistent Browser-Based Role-Playing Game (PBBG), like the new PBBG Reveries. Having your characters name highlighted would make it easier to notice it mentioned when scanning over a lot of events I guess.

Okay I've played FTO. I didn't like how you couldn't read the text events because of the damn forested background.
I can't wait until Reveries comes out.

My cheap way of finding when my character's been mentioned - ctrl-f , type my char's name. Voila. Or you can go into the menu and select 'find' yourself.
And all that is now
And all that is gone
And all that's to come
And everything under the sun is in tune
But the sun is eclipsed by the moon.
